Contractor Information

The following information has been provided to answer some of the questions Contractors may have in relation to the Safetynet Contractor Management Service.

What is the Contractor Management Database?

The Contractor Management Database is a systematic on-line management system that holds all your contract and company details for clients who have subscribed to use the service.

What do I need to do?

The client that you will undertake contract work for has requested that specific details on your organisation, insurance, management systems and personnel (including sub contractors) be registered on the Contractor Management Database.

Who needs to enter the information onto the Contractor Management Database and update it?

The Contractor is responsible for entering the information onto the Contractor Management Database.

The Contractor will be provided with log-in details into their account and can update the details that the client views at any point in time.

Why does the Client require the information?

The client has requested this information to:-

Ensure you meet the legislative and organisational requirements.
Provide consistent information on your activities and services to all the Clients sites/departments.
Provide a central access point for all documentation on your organisation ie.

Who can access and view my organisation details?

All information is held securely and can only be accessed by the associated Client and the Contractor who have authorised log-in details (refer to privacy information). If at any point you cease to do contract work for a specific client, you can disassociate your contractor status to the client – this means that the client can no longer view your contractor details.

What if I do not have some of the documents that the Client is requesting?

The sub pages of this section of the website provide contractors with sample OHS Management System documents.

You should gain further independent legal advice if you are unsure of what is being requested from you.

How will having this information on the Database benefit me?

You may be working for a client that has multiple sites and have been requested to provide all your organisation, insurance and personnel details to all those sites – which can be quite time consuming for the contractor. The Contractor Management Database only requires you to enter the information once. All authorised personnel within the client site(s) can view your details. Only the initial Client contact will request you to enter the information.

If other Clients that you contract with use the Safetynet Contractor Management Service, you will still only need to enter your information once. The new clients can only access your details on the Contractors authorisation.

What will happen if I do not update information on the Contractor Management Database?

If you do not update your details ie. Insurances, licenses etc when requested you will be made “suspended” on the Contractor Management Database and you will no longer be authorised to work at the Client site. Once your details are updated, your status will be re-activated.

What will happen if I provide false information?
The Client will undertake audits during the contract period on details provided and documentation submitted. The Client will also speak to some your personnel (including sub contractors) to ensure they are aware of the systems and instructions that you have provided.

If the information you have provided can not be verified, your contract could be terminated and some situations legal action could be instigated.

When will Safetynet Management Solutions contact me?

Safetynet will contact you mainly via email to:-

Remind you to provide all necessary pre-contractor documentation. You will not be made available to the Client for work until all
documentation and requirements have been met.
Notify you of out of date insurances
Notify you of out of date personnel licenses
